1. Job Identification
Job Title: Executive Assistant
Reports to: Director
Salary Range $41,600
2. Job Summary
The Executive Assistant supports the management team by performing receptionist, administrative and accounting tasks.
3. Knowledge, Skills, and Abilities
Knowledge of Regional Center, Department of Social Services, Department of Developmental Services, and State Council on Developmental Disabilities,
Knowledge of computer and networking principles
Knowledge of human resources principles.
Technical proficiency, organization skills, time management, analytical skills, good written and verbal communication skills,
Interpersonal skills (build and maintain positive work relationships), mathematical skills, multi-tasking skills, independent judgment and decision making skills.
Critical thinking, active listening, reading comprehension, teamwork, problem-solving, negotiating, comparing, classifying, analyzing, coordinating, innovating, interact effectively with management, and social perceptiveness
Maintain confidentiality, ability to type 45 words per minute, detail oriented, flexibility, adaptability, prioritize, ability to work with a diverse population, positive attitude, work ethic, responsibility, self-discipline, creativity, multi-cultural awareness, empathy and concentration.
Must have organizational skills
Must be adept to Microsoft Office.
4. Education and Experience
High School Diploma required.
Associate’s degree in Business, Accounting, Technology or a related field preferred but no required.
Minimum Experience: 2 years experience as Executive Assistant required.
5. Essential Functions
Greet visitors, answer phone calls, take and direct messages
Support programs’ recruiting efforts. Schedule interviews, prepare paperwork, assist candidates with paperwork etc. Send all documents to Human Resources
Order, maintain and distribute office and general supplies
Collect, prepare and distribute mail
Prepare and send new client status form
Report facility repairs and follow up through completion
Assist with payroll by reviewing reports and noting any discrepancies between authorized hours, billing and payroll hours
Review monthly billing and compare to authorized service hours. Report any discrepancies to management
Receives notice of authorization for services, informs management and updates reports accordingly
Prepares staff training materials
Creates, runs and reviews reports
Creates, organizes and maintains documents and files
Performs other related duties and assignments as required

The Administrative Assistant works in an indoor office environment with minimal travel and outside work. The position requires occasional lifting of up to 50 pounds, bending, stooping, pushing, pulling, standing, twisting, reaching, driving and kneeling. The position requires frequent sitting, keying/fingering, grasping, talking, hearing and repetitive motions.
8. Other Requirements
This position will require a valid California ID or Driver’s License. Candidate must successfully pass all pre-employment requirements, including but not limited to background check, physical etc. If required to drive, candidate must possess proof of valid insurance and registration. Must be able to travel.
